TERMS & CONDITIONS 

“Wickham Estate” shall mean the grounds including The Old Winery, The Vine Room, Gazebo, Byre, courtyard, vineyard, kitchens, The House (accommodation) and car park. Wickham Estate will also be referred to as ‘us, we and our’.

“The Hirer” shall mean the person or persons signing the booking form and contract produced by Wickham Estate. The Hirer will also be referred to as ‘you’ and ‘your’ throughout the contract.

“Venue” shall mean the venue at Wickham Estate where your wedding is agreed to be held.

“Wedding” shall mean a civil partnership or blessing including a drinks reception, wedding breakfast and evening reception.

“Wedding Package” shall mean all components including ceremony, venue hire, drinks package and guest numbers discussed when booking Wickham Estate as your venue with additional options such as the on-site accommodation.

“Wedding Coordinator” shall mean the wedding team at Wickham Estate.

 

  1. Your contract is with us, Wickham Estate, Botley Road, Shedfield, Southampton, Hampshire SO32 2HL Telephone 01329 834700 (Registration No 13763713).

  2. The venue is available for your wedding day between the hours of 8.30am-11pm on the date specified in the booking forms and contract unless otherwise confirmed with your Wedding Coordinator.

  3. It is the responsibility of The Hirer to book the Registrar for your wedding. We strongly recommend you book your Registrar as soon as you have booked your wedding with us.

  4. All weddings must include a Wedding breakfast and drinks package and evening reception. If your actual number of guests fall beneath the minimum number for each of our venue rooms, you will still be charged you for the minimum number.

  5. The minimum adult guest number required for a wedding (ceremony and wedding breakfast) is 50 and the maximum number of guests is 85.

  6. The maximum number of guests allowed at the venue for the evening reception is 150.

  7. The maximum number of children allowed at the venue at any one time is 10. Children are classed as 12 years and under. 

  8. The Hirer must use Wickham Estate’s sole caterers, Exquisite Catering. The Hirer may not supply any food themselves unless prior agreement with the Wedding Coordinator or caterers. A wedding breakfast and evening food must be purchased from Exquisite Catering, or charges will incur. (Please refer to Exquisite Catering’s own Terms and Conditions for more information).

  9. The venue is licensed to sell alcohol until 11pm unless otherwise agreed.

  10. All music played inside the venue must cease by 11pm unless otherwise agreed.

  11. Any music performed/played outside must cease by 7pm.

  12. The following items are not permitted on site at Wickham Estate:

    a. Fire pits Chinese lanterns, glitter, hay bales, confetti cannons and coloured smoke flares.

  13. Fireworks are permitted if conducted by a licensed company only.

  14. Miniature alcoholic bottles may be brought onto site for table favours at a charge. See Charges/Fines table for charge cost.

  15. All electrical equipment brought on site by The Hirer, or their guests must be PAT tested and provide proof of this.

  16. Dogs are allowed on site if they are on a lead however are not permitted into the Old Winery and the House.

  17. No decorations to be stuck or pinned to any painted surfaces.

  18. A holding deposit of £300 will be applied to your final invoice. This will be refundable after your wedding date unless there has been a violation of Wickham Estate’s code of conduct by the Hirer of the Hirer’s guests.

  19. Wickham Estate will invoice you for the total price of your wedding (less any deposit paid) approximately 6 weeks before the scheduled date of your wedding. You must pay our invoice in full 4 weeks before your wedding date. Any late payments may result in us not being able to provide the correct quantities for your wedding.

  20. You must confirm the final guest numbers with Wickham Estate no later than 8 weeks before your wedding, so we are able to raise your final invoice. Subsequent increases in numbers will be invoiced separately. No refunds will be given for any decrease in numbers once your invoice has been paid.

  21. The caterers will issue their invoice separately to Wickham Estate.

  22. You must provide your guests with such information we may reasonably request regarding arrangements to be followed at the venue (for example, in relation to car parking or the storage of valuables). 

  23. Guests may use our car park overnight but must collect by 11 am the following morning. This may change if the wedding is on a Bank Holiday weekend, be sure to check with your Wedding Coordinator for collection times.

  24. The Wedding Coordinator accepts no responsibility for any property belonging to the Hirer, their guests, or their suppliers at Wickham Estate at any time.

  25. The Hirer must provide their own ladder if required for hanging decorations from our beams and are also responsible for taking them down from 11pm on the wedding date by a responsible adult.

  26. Where possible, all items should be taken off the premises at the end of your day, especially perishables, if anything is left at the venue or any items left by your guests, we cannot be held responsible for loss or damage.

  27. It is The Hirer’s responsibility to inform the Wedding Coordinator of all their suppliers involved no later than 4 weeks prior to the wedding day.

  28. The Hirer must ensure that all entertainment booked for the hire period is in the possession of valid Public Liability Insurance and PAT Testing Certificate and must provide this to the venue 4 weeks before. The Wedding Coordinator reserves the right to refuse permission to any third-party supplier who does not have these documentations.

Provisional Booking Terms & Conditions 

  1. A deposit of £250.00 is required to Wickham Estate to provisionally secure your wedding date for 2 weeks. 

  2. It is the responsibility of the Hirer to contact Wickham Estate to confirm or cancel the provisional booking. 

  3. A remaining £750.00 is required by the end of the 2 weeks to fully secure your wedding date. 

  4. The £250.00 is not a full booking. A full booking is made once the full £1,000.00 deposit has been received. 

  5. The £250.00 is refundable up until the 2 weeks, the deposit is no longer refundable after the 2 weeks if no contact to Wickham Estate has been made. The provisional date is no longer secured and made available to the public after the 2 weeks if this has not been fully secured. 

  6. You can change the date of your provisional booking throughout the 2-week period however this does not re-start the 2-week provisional booking again.
